The short version
- Who we are: Ultra Secure Limited (trading as Ultra Secure Direct) is responsible for your personal data. We're a UK company, registered in England and Wales (no. 04680858), with our distribution centre and technical team in France.
- What we use it for: to process and deliver your orders, run your account, answer your messages and keep our website secure. We send you our newsletter only if you ask for it.
- Who we share it with: only the companies that help us do this, such as Ultra Secure France, which runs our distribution centre in France, DHL for delivery and our payment providers. We never sell your data or share it with partners for their marketing.
- Payments: card and PayPal payments are handled by our payment providers: we never see or store your full card details.
- Your rights: you can ask to see, correct or delete your data, or object to how we use it, at any time, free of charge, through our contact page.
The full notice below explains the details, in line with the UK GDPR and the Data Protection Act 2018.
1. Who we are
Ultra Secure Direct is a trading name of Ultra Secure Limited, a company registered in England and Wales under company number 04680858, with its registered office at Henge Barn, Pury Hill Business Park, Alderton Road, Towcester, Northamptonshire, England, NN12 7LS. We are the "controller" of the personal data described in this notice: we decide how and why it is used. In this notice, "we", "us" and "our" mean Ultra Secure Limited.
We are registered with the Information Commissioner's Office (ICO), the UK's data protection regulator, under registration number ZA936939.
Our global distribution centre and our technical team are in France, run by Ultra Secure France, 8 rue Nicolas Appert, 44118 La Chevrolière, France: that's where every order is prepared and tested, and where our technical support comes from. Ultra Secure France is a separate company, which handles your data for us (see section 4).
This notice applies to ultrasecuredirect.com, to orders you place with us and to messages you send us. For any question about your personal data, or to use your rights, contact us through our contact page, or by email at info@ultrasecuredirect.com.
2. The personal data we collect
When you create an account or place an order: your name, email address, delivery and billing addresses, phone number (DHL uses it to arrange delivery), company name and VAT number for business orders, your password (stored encrypted, we can't read it), and the details of your orders: products, prices, delivery, payments, returns and refunds.
When you pay: card payments and PayPal payments are processed by our payment providers. We receive confirmation that you have paid, a transaction reference and, for cards, limited details such as the card type; we never receive or store your full card number or security code. If you pay by bank transfer, we see the details shown on the transfer.
When you contact us: your name, email address, the topic and order reference you choose, your message, any photo or document you attach, and our replies. Please don't include information you don't need to share, such as card details or health information.
When you ask for a quote or a security consultation: the contact details and information about your project that you give us.
When you review a purchase: after an order, we may invite you by email to review it through our independent review service, Verified Reviews. If you leave a review, it may be published with its rating on the Verified Reviews website and on ours, under a shortened form of your name (such as your first name and initial).
When you browse our website: technical information such as your IP address, browser and device type, the pages you visit and how you arrive on our website, collected through cookies and similar technologies (see section 8).
From others: if you buy one of our products through an online marketplace, the marketplace sends us the details we need to deliver your order. DHL tells us about the progress of your delivery.
3. How we use your data, and why we're allowed to
Data protection law lets us use your personal data only when we have a valid reason, called a "lawful basis". Here is what we do and on which basis.
- To take, prepare, deliver and support your orders, including returns, refunds and warranty claims, and to run your account. Basis: contract (we need it to do what you ask of us).
- To answer your messages and give you advice before or after a purchase. Basis: contract when it relates to an order or a request you make; otherwise our legitimate interests in helping our customers.
- To keep accounting and tax records and meet our other legal obligations. Basis: legal obligation.
- To protect our website and customers against spam, fraud and misuse, for example with reCAPTCHA on our forms, and the checks our payment providers make. Basis: our legitimate interests in keeping our services secure.
- To invite you to review your purchase and to ask for your feedback after an order (the optional survey on the order confirmation page). Basis: our legitimate interests in improving our products and service. You can ignore the invitation, and ask us to stop sending them.
- To understand how our website is used and improve it, and to measure our advertising. Basis: your consent where cookies require it (see section 8), otherwise our legitimate interests.
- To send you our newsletter with news and offers. Basis: your consent, which you give by ticking the newsletter box. Every newsletter has an unsubscribe link, and you can also untick the box in your account or contact us.
- To deal with legal claims, if ever needed. Basis: our legitimate interests in defending our rights.
Where we rely on legitimate interests, we have balanced our interests against yours, and you can object (see section 10). We don't make decisions about you based solely on automated processing that have legal or similarly significant effects on you.
We need your name, contact details and address to deliver an order: without them, we can't accept it. Everything else is optional.
4. Who we share your data with
We share your personal data only with companies that help us run our business, and only what they need. They act on our instructions or, for payment providers and carriers, also under their own legal obligations.
- Ultra Secure France, which runs our global distribution centre and technical team in France: it receives your name, delivery address, contact details, the products ordered and your messages to our technical support, so it can prepare, test and ship your order and help you with your products.
- DHL, which delivers every order: it receives your name, delivery address, email address and phone number, so it can deliver your parcel and send you tracking updates.
- Our payment providers (including PayPal and our card payment provider), to process payments and refunds and prevent fraud. When you pay with PayPal, PayPal's own privacy notice also applies.
- Verified Reviews (Net Reviews), our independent review service, which receives your name, email address and order details to invite you to review your purchase.
- Google, which provides our website analytics and advertising measurement tools (through Google Tag Manager) and reCAPTCHA spam protection.
- Our IT and software providers: website hosting, email, and the software we use to manage orders and marketplace sales.
- Our professional advisers (such as accountants and lawyers), and authorities such as HMRC, the police or the courts, when the law requires it or to protect our rights.
- A buyer of our business, if we ever sell or restructure it, under the same protections.
We never sell your personal data, and we don't share it with other companies for their own marketing.
5. International transfers
Your orders are prepared and shipped by Ultra Secure France, from our distribution centre in France, so your order details are transferred to the European Union. The UK recognises that the EU gives personal data an adequate level of protection, so these transfers are allowed under UK law.
Some of our providers, such as Google and PayPal, may process data in other countries, including the United States. When that happens, the transfer is protected as UK law requires: for example under the UK-US data bridge, or with the UK's approved contract clauses (the International Data Transfer Agreement or Addendum). You can contact us for more information about these safeguards.
6. How long we keep your data
We keep your data only as long as we need it, for the purposes above:
- Orders, invoices and payment records: 6 years from the end of the financial year of the order, as UK tax law requires.
- Your account: until you ask us to close it. Your order records are then kept for the period above.
- Messages to our customer service: 2 years after our last exchange, or as long as the related order records when they concern an order or a warranty claim.
- Newsletter: until you unsubscribe. We keep a record of your unsubscription so we don't email you again.
- Published reviews: as long as they're published, unless you ask for them to be removed.
- Analytics data: for a limited period set in the tools we use, after which it is deleted or anonymised.
We may keep data longer if we need it to deal with a complaint or a legal claim.
7. How we protect your data
Our website uses a secure, encrypted connection (HTTPS). Passwords are stored encrypted, and card details are entered with our payment providers, never stored by us. Access to your data is limited to the people and providers who need it, and they must keep it confidential and secure.
8. Cookies and similar technologies
Cookies are small files saved on your device by the websites you visit. We use:
- Essential cookies, which make the website work: they keep your basket, keep you signed in and remember your choices. The website can't work properly without them.
- Security cookies set by Google reCAPTCHA on our forms (contact, sign-in, quotes), to tell people and spam robots apart.
- Payment cookies set by PayPal, which help it process payments securely and detect fraud.
- Analytics and advertising cookies, loaded through Google Tag Manager, which tell us how visitors use our website and measure our Google advertising, including showing our ads to people who have visited our website.
Our product videos are only loaded from YouTube (in its privacy-enhanced mode) when you choose to play them.
You can refuse or delete cookies in your browser settings; if you block essential cookies, parts of the website, such as the basket, won't work. You can also turn off personalised Google ads in your Google ad settings, and opt out of Google Analytics with Google's browser add-on.
9. Marketing
We send our newsletter only to people who have signed up for it. We don't send offers on behalf of other companies, and we never pass your details to partners for their own marketing. You can unsubscribe at any time, with the link in every newsletter, in your account, or by contacting us. We'll still send you the emails we need to about your orders (such as confirmation, despatch and delivery emails).
10. Your rights
Under data protection law, you have the right to:
- access your personal data and get a copy of it;
- have inaccurate or incomplete data corrected (you can also update most of it yourself in your account);
- have your data erased, where we no longer have a reason to keep it;
- restrict how we use your data, for example while we check a request;
- object to our use of your data based on legitimate interests, and to direct marketing at any time;
- data portability: receive the data you gave us in a common electronic format, or have it sent to another company;
- withdraw your consent at any time, where we rely on it (this doesn't affect what we did before).
To use any of these rights, contact us through our contact page. It's free. We may ask you to confirm your identity, and we'll reply within one month (we'll tell you if a complex request needs longer). Some rights have limits: for example, we must keep order records for tax purposes even if you ask us to delete your account.
11. Complaints
If you're unhappy with how we use your personal data, please tell us first through our contact page, and we'll do our best to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk.
12. Children
Our website and products are intended for adults. You must be 18 or over to place an order, and we don't knowingly collect personal data from children. If you think a child has given us their data, please contact us and we'll delete it.
13. Changes to this notice
We may update this notice from time to time, for example when we change providers or the law changes. The latest version is always on this page, with the date it was last updated. If a change significantly affects how we use your data, we'll tell you by email or on our website.
